New Service Request System at NIIF Institute

A new Service Request System was developed within the frameworks of the CRM project at NIIF Institute, financed mostly by TÁMOP service development project. By using this system, all of the service requests and service modification forms are easy to reach within a single website in a sorted and classified way.
The standard way of requesting an NIIF service used to be completing various request documents often written in different formats and sending them to NIIF via courier in print. The new system doesn’t even need any paper to be printed out in some cases. The request doesn’t even need any other interaction than filling out a web form, submitting it and, wherever it is legally required, printing and submitting it in hardcopy.
Unfortunately, Hungarian law system doesn’t support contracting on-line, therefore many NIIF services can only be requested by generating a PDF contract with the data given. The portal gives a good overview of the new as well as the old NIIF services as well.
Through the request process various data are given related to the contract and the service on clear forms that are easy to use. The site uses image-processing filtering to avoid spammer bots to submit false forms. The users must recognize letters on a distorted picture in order to submit a form. After filling out all of the required fields, the submission is sent to the service administrator, and in some cases, a PDF document is generated from the submitted values based on previously given document templates. The system sends the PDF to the end user, and the only thing to be done is signing and sending it by fax or by courier to the address of the Institute. Our Administrators will contact the user with the details of using the service and billing.
After putting all of the request forms together, the next step will be to pipe the request forms into the appropriate service-databases. After such connections are established, users will be able to ask for services by giving their standard personal data only once, and the request system will use these values to pre-fill the corresponding fields on the future request forms. It is also planned to connect the request system with the service authorization databases as well. When this is done, administrators will be able to review the data given and then submit them to the appropriate service authorization database in a single click.
Hopefully, this standardization and collection of the forms will make the registration and request processes easier, faster and more efficient.
